This policy explains how we collect, use, store and share your personal information, and how you can access or correct it. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

1. What personal information we collect

We only collect the information we need to talk with you about your home, design and build it, and look after you afterwards. This may include:

  • information needed to prepare estimates, tenders, contracts and finance or insurance paperwork
  • records of our conversations, emails and meetings with you
  • payment and invoicing details
  • if you apply for a job with us, your resume and the details you include in your application

We don't ask for sensitive information (such as health information) unless it's genuinely needed, for example to make your home more accessible, and only with your consent.

2. How we collect it

We collect personal information directly from you, including when you:

Sometimes we collect information from other people involved in your build, such as your architect, designer, surveyor, engineer, finance broker, lender, council or other authorities. We only do this where it's needed for your project.

3. Why we collect it

  • provide maintenance, warranty and after-handover support
  • manage payments, accounts and our legal and regulatory obligations
  • improve our website, services and client experience
  • send you news or updates from Oak, if you've agreed to receive them

We won't use your information for anything unrelated to these purposes without your consent, unless the law requires or allows it.

4. Who we share it with

We only share your personal information where it's needed to deliver your home or run our business. This may include:

  • our trades, suppliers, designers, engineers, surveyors and building inspectors
  • councils, building surveyors and other authorities for permits and approvals
  • your lender, finance broker or insurer, where you've asked us to
  • our professional advisers, such as accountants, lawyers and insurers
  • service providers who help us run our business, such as IT, cloud storage, email and website hosting providers

We expect everyone we share information with to keep it confidential and use it only for the purpose we provided it. We do not sell your personal information.

Some of our service providers (for example, cloud software and email providers) may store information on servers outside Australia. Where this happens, we take reasonable steps to make sure your information is handled in line with Australian privacy law.
